Content Moderation and Acceptable Use Policy for Cortex
1. What this is about
Cortex is an AI-powered assistant from Vogelsang AI (Ing. Christoph Vogelsang, P.O. Box 33, 3400 Klosterneuburg, Austria). Cortex helps to organise and summarise emails, appointments and tasks and to prepare replies. To do this, Cortex uses AI models from external providers, currently Anthropic and OpenAI.
This policy sets out what Cortex may and may not be used for, how we handle indications of misuse and what measures we may take in the event of violations. It forms part of the Cortex Terms of Use.
2. Permitted use
Cortex may be used for lawful purposes, in particular to
- sort, summarise and prioritise your own emails, appointments and tasks,
- prepare draft replies, notes and plans,
- transcribe voice notes and structure thoughts.
Suggestions from the AI are drafts. Before content is sent externally or decisions are made on its basis, users must review the results themselves.
3. Prohibited use
It is not permitted to use Cortex to
- create, distribute or promote unlawful content, such as fraud, copyright infringements or violations of data protection law;
- harass, threaten, intimidate or discriminate against others, or to incite hatred or violence;
- support, glorify or promote terrorism or violent extremism;
- create or send spam, unsolicited mass messages, phishing or misleading messages;
- create malware, circumvent security measures or attack systems;
- generate content that sexualises, exploits or endangers minors;
- obtain instructions for producing weapons, explosives or hazardous substances;
- impersonate another person or organisation, or present content as created by a human where there is a legal obligation to disclose the use of AI;
- process personal data of third parties without a sufficient legal basis, or unlawfully monitor individuals or create profiles of them;
- circumvent usage limits, quotas or technical safeguards of Cortex, overload Cortex by automated means, or pass on or resell access;
- use Cortex or its AI output to violate the applicable usage policies of the AI providers used.
Where statutory reporting or cooperation obligations exist in connection with unlawful content or actions, we fulfil them towards the competent authorities.
4. Sensitive and high-risk areas
Cortex does not replace professional advice.
In matters of health, law, tax, finance, personnel decisions or other decisions with significant consequences for people, AI output may only be used as a supporting suggestion. Responsibility for reviewing and deciding remains with the human.
Automated decisions with legal or similarly significant effects on other persons are not permitted with Cortex.
5. How we detect and review misuse
- Technical safeguards: Cortex may evaluate technical usage and security characteristics and use usage limits or other protective mechanisms, insofar as this is technically provided for and legally permissible.
- Safeguards of the AI providers: The AI models used may refuse or restrict certain requests in accordance with the protective mechanisms and usage policies of the respective providers.
- Review on specific grounds: We do not routinely monitor communication content. Where there are specific indications of a possible violation – for example due to a report, conspicuous technical usage patterns or a request from an authority – we may review available usage information and, where necessary and legally permissible, the content concerned to the extent required. In doing so, we observe the applicable data protection provisions and our Privacy Policy. For Google user data, the Limited Use commitments in section 4 of the Cortex privacy policy take precedence; human access takes place only under the conditions stated there.
- Reports: Indications of possible violations can be sent to cortex@vogelsang.ai. We review incoming reports on a risk-based basis and to an appropriate extent.
6. Measures in the event of violations
Depending on the nature, severity and circumstances of a violation, we may
- give notice and request that the conduct cease,
- temporarily restrict individual features or the use of AI,
- temporarily suspend the account,
- terminate the contract for good cause and close the account,
- make legally required reports or take other necessary steps towards the competent authorities or bodies.
For minor violations, we generally give an opportunity to comment or to remedy the situation beforehand.
In the case of serious violations, repeated misuse, security risks, imminent danger or where immediate action is required by law, measures may also be taken without prior warning.
Affected persons may contact cortex@vogelsang.ai if they consider a measure to be unjustified.
7. Changes
We may amend this policy if Cortex, the AI providers used, technical safeguards or the legal situation change.
The current version is published on this page.
